Receptionist / Administrative Aide
The Receptionist will be the first point of contact for our company. Duties include offering administrative support across the organization, welcoming guests and greet plant visitors; the Receptionist will also coordinate front-desk activities, including distributing correspondence and redirecting calls. This position requires multitasking, attention to detail and strong communication skills. This position will report to Human Resources Manager.Greet people entering the building, answering any questions, providing directions and alerting staff when someone is there to meet or visit them. Provide all PPE’s Manage the building electronic log of who is entering and exiting the building
Answer a multiple line phone system, manage calls by routing them to the proper extensions or taking messages and delivering them within our message system along with setting up conference calls as requested
Accept deliveries and mail, organize them to be distributed to the correct recipients using the office mailing system and ensure they get to the recipient in a timely manner while also managing outgoing mail and packages for pickup
Maintain the reception area, keeping it clean and free of clutter
Drafts, reviews and proofreads office documents
Assist new applicants who come into the building to apply for positions, including providing them with applications, pens and clipboards
Keep updated records of office expenses and costs
Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
Order office supplies and keep inventory of stock as instructed
Assist in scheduling meetings, reserving conference rooms and updating the daily conference room schedules
Strong decision making and problem-solving skills
Excellent oral and written communication skills
Strong attention to detail and ability to work quickly while following protocol and policy
Able to multitask efficiently
Knowledge of Microsoft Office is required
Applicant should be highly organized and detail oriented
Experience using a multi-line phone system preferred
Bilingual (Spanish) preferred
Strong computer skills (Microsoft, Outlook, Excel)
Strong people skills
High school diploma or GED required
Basic Reading, Writing and Math skills
